BELHAM WOOD KENNELS
Terms and Conditions for the Acceptance of Boarders
Payment of a deposit, receipt of a booking confirmation email, payment of boarding fees or leaving a dog in our care constitutes
acceptance of these Terms and Conditions. Copies are available on our website, in reception or by email upon request.
1. HEALTH, VACCINATIONS AND ADMISSION REQUIREMENTS
1.1 Vaccinations All dogs must be fully vaccinated against:
• Distemper
• Hepatitis
• Leptospirosis
• Parvovirus
• Parainfluenza The owner is responsible for ensuring that all vaccinations are current and have been given within the required
timescales. Routine booster vaccinations must be completed before arrival. Where a dog’s vaccination course has lapsed and must be
restarted, the complete primary vaccination course must be finished at least two weeks before arrival. A valid vaccination certificate
must be produced when the dog is dropped off. Belham Wood Kennels reserves the right to request a copy before the start of the
booking. Failure to provide satisfactory evidence of vaccination, or failure to complete vaccinations within the required timescale, will
result in admission being refused. The booking will be treated as a late cancellation and the full boarding fee will remain payable. This
information is required for animal welfare, licensing and record-keeping purposes.
1.2 Kennel Cough Vaccination against Canine Infectious Bronchitis, commonly known as Kennel Cough, is
recommended but is not compulsory. Kennel Cough is an airborne infection and can be contracted even when dogs
have been vaccinated. Belham Wood Kennels cannot guarantee that a dog will not contract Kennel Cough and will
not accept responsibility for associated veterinary fees. Where an owner chooses to have their dog vaccinated
against Kennel Cough, the vaccination must be given at least 21 days before arrival.
1.3 Worming and Flea or Tick Treatment Owners must provide:
• The date of the dog’s most recent worming treatment
• The name of the worming product used
• The date of the dog’s most recent flea or tick treatment
• The name of the flea or tick product used This information must be provided before or upon arrival. Dogs found to have fleas, ticks or
worms may be treated as necessary. The owner will be responsible for the full cost of treatment and any additional cleaning or
pest-control costs. Belham Wood Kennels cannot be held responsible if a dog contracts fleas or ticks. It is the owner’s responsibility to
ensure that their dog has suitable and effective parasite protection before boarding.
1.4 Veterinary Insurance Where a dog is insured, the owner must provide:
• The name of the insurance company
• The policy number
• Any relevant claims or emergency contact information
1.5 Emergency Contact The owner must provide an emergency contact who:
• Can be contacted during the dog’s stay
• Is able to make decisions regarding the dog’s care
• Is preferably local to the kennels
• Is able to collect the dog if necessary The emergency contact must not be travelling with the owner unless another suitable contact
has also been provided.
1.6 Medical Conditions, Behaviour and Relevant History Owners must disclose all information that may affect the
safe care of their dog, including:
• Current or previous illnesses
• Ongoing veterinary investigations
• Medical conditions that may recur
• Allergies or intolerances
• Previous injuries
• Mobility difficulties
• Seizures
• Anxiety or stress-related behaviour
• Aggression
• Resource guarding
• Escape behaviour
• Destructive behaviour
• Fear of handling
• Any other traits, habits or behaviours that may present a risk Owners must also disclose any history of incidents involving people or
other animals. Belham Wood Kennels relies upon the information supplied by the owner. We cannot accept responsibility for an
incident caused or worsened by information that was incomplete, inaccurate or withheld.
1.7 Medication and Supplements Medication and supplements will be administered in accordance with the owner’s
written instructions, provided that the dog can be handled safely. All medication must:
• Be supplied in its original packaging
• Be clearly labelled
• Include the dog’s name
• Include the correct dosage and administration instructions
• Be provided in sufficient quantity for the entire stay Belham Wood Kennels will take reasonable care when administering medication
but cannot be held responsible for an adverse reaction to medication or supplements supplied or authorised by the owner. This
includes dogs requiring insulin or other injections. Any injection is administered on the owner’s instructions and at the owner’s risk.
Belham Wood Kennels reserves the right to refuse medication where:
• Instructions are unclear

• Medication is not correctly labelled
• The dog cannot be handled safely
• The treatment requires veterinary supervision
• Staff are not able to administer it safely or lawfully
2. VETERINARY TREATMENT AND EMERGENCIES
2.1 Contacting the Owner In the event of illness, injury or another emergency, Belham Wood Kennels will make
reasonable efforts to contact:
1. The owner; and
2. The nominated emergency contact. Where neither can be contacted, the management of Belham
Wood Kennels will decide what action is reasonably necessary to protect the dog’s health and
welfare.
2.2 Permission for Veterinary Treatment The owner authorises Belham Wood Kennels to arrange and consent to
emergency veterinary examination or treatment where reasonably necessary during the dog’s stay. The owner
understands that Belham Wood Kennels will make every reasonable effort to provide updates using the contact
details supplied.
2.3 Choice of Veterinary Practice Where practical, Belham Wood Kennels may take the dog to its usual veterinary
practice. Where this is not practical, or urgent treatment is required, Belham Wood Kennels may use its designated
veterinary practice or another suitable local veterinary practice. The owner authorises Belham Wood Kennels to
contact the dog’s registered veterinary practice to obtain relevant medical information or discuss treatment where
necessary.
2.4 Veterinary Fees Payable by the Owner Any veterinary fees relating to any of the following will be paid in full by
the owner:
• A pre-existing condition
• A recurring condition
• An existing illness or injury
• Medication or ongoing treatment
• A condition that was present before arrival
• A condition that was not disclosed by the owner
• Any illness, injury or condition that was not caused by the negligence or fault of Belham Wood Kennels The owner agrees to pay the
veterinary practice directly or reimburse Belham Wood Kennels for any veterinary fees paid on their behalf.
2.5 Veterinary Fees Where Belham Wood Kennels Is at Fault Where an injury or illness is directly caused by the proven
negligence or fault of Belham Wood Kennels, reasonable veterinary fees will be covered by Belham Wood Kennels.
This applies to eligible conditions arising during the boarding stay or within 36 hours of departure. Belham Wood
Kennels’ contribution will be limited to a maximum of £250 unless otherwise agreed in writing. This cover does not
apply where the injury or illness results from:
• Aggressive behaviour
• Over-exuberant behaviour
• Interaction between dogs sharing accommodation
• A pre-existing condition
• An undisclosed medical or behavioural condition
• The dog’s own actions
2.6 Refusal or Early Termination of Boarding Belham Wood Kennels reserves the right to:
• Refuse admission to a dog that appears unwell
• Refuse admission where required records or medication are not provided
• Refuse admission to a dog that presents an unacceptable health or safety risk
• Require a dog to be collected early if it becomes too unwell, distressed, destructive or aggressive to board safely The owner or
nominated emergency contact must arrange collection when requested.
No refund will be given where boarding is refused or ended because of:
• Undisclosed medical or behavioural information
• Aggression
• Unsafe behaviour
• Failure to provide valid vaccination evidence
• Failure to provide suitable medication or instructions
• A condition that makes the dog unsuitable for boarding
2.7 Pregnant Dogs and Dogs in Season Pregnant bitches and bitches in season are boarded entirely at the owner’s
risk. The owner must notify Belham Wood Kennels before arrival if a dog is pregnant, may be pregnant or is in
season. Belham Wood Kennels reserves the right to refuse admission or require early collection where appropriate.
2.8 General Standard of Care Belham Wood Kennels will provide reasonable care and attention to every dog.
However, Belham Wood Kennels cannot be held responsible for unavoidable loss, illness, injury or death where
reasonable care has been provided and there has been no negligence or fault by Belham Wood Kennels.
3. MULTIPLE DOGS SHARING ACCOMMODATION
3.1 Owner’s Request and Responsibility Only dogs from the same household or family may share accommodation.
Where the owner requests that two or more dogs share a kennel, the owner confirms that:
• The dogs normally live together
• The dogs are accustomed to sharing space
• The dogs can safely eat, rest and sleep near each other
• There is no known history of aggression, fighting or resource guarding between them

• The owner has disclosed any previous disagreements, injuries or behavioural concerns Dogs sharing accommodation do so at the
owner’s request and risk.
3.2 Injuries Between Sharing Dogs Belham Wood Kennels cannot accept responsibility for injury caused by one
sharing dog to another where the injury results from:
• Aggressive behaviour
• Over-exuberant play
• Mounting
• Resource guarding
• Competition over food, toys, bedding, attention or space
• A sudden change in the relationship between the dogs
• Any other interaction between the dogs Any veterinary fees resulting from an interaction between dogs sharing accommodation will
be paid in full by the owner unless the injury was directly caused by the proven negligence of Belham Wood Kennels. The owner
agrees to pay the veterinary practice directly or reimburse Belham Wood Kennels for any veterinary fees paid on the owner’s behalf.
3.3 Separating Dogs Belham Wood Kennels may separate sharing dogs at any time where staff consider this
necessary for:
• Safety
• Feeding
• Rest
• Medical care
• Behavioural management
• The welfare of either dog Belham Wood Kennels does not need to obtain the owner’s permission before separating dogs where
immediate action is considered necessary.
Separation may require the use of an additional kennel. The owner will be responsible for:
• The additional kennel charge
• Any loss of a multi-dog sharing discount
• Additional cleaning or management costs
• Veterinary costs where applicable The additional charge will apply for the period during which separate accommodation is required.
Where no additional kennel is available and the dogs cannot continue to share safely, the owner or emergency contact may be
required to collect one or all of the dogs.
3.4 Feeding Sharing Dogs Belham Wood Kennels may feed sharing dogs separately where considered necessary. The
owner must disclose any:
• Food guarding
• Different diets
• Allergies
• Feeding-related aggression
• Requirement for slow feeding
• Need for supervision during or after meals
4. DROP-OFF AND COLLECTION
4.1 Appointments All drop-offs and collections are strictly by pre-booked appointment. Appointments must be
arranged by telephone or email and must take place during the following opening hours: Day Opening hours Monday
to Friday 9:00am to 12:00 noon and 1:30pm to 4:00pm Saturday 9:00am to 12:00 noon Sunday and Bank Holidays
Closed for drop-offs and collections Owners should not arrive without an appointment or outside their allocated
time.
4.2 Late or Out-of-Hours Arrivals Where a customer arrives late or outside the agreed appointment time, Belham
Wood Kennels may:
• Ask the customer to wait
• Rearrange the appointment
• Refuse to complete the drop-off or collection until the next available opening time
• Charge a late or out-of-hours fee of £15 An out-of-hours appointment is not guaranteed and must be agreed in advance.
4.3 Leads and Collars Dogs must be kept securely on a lead at all times while arriving at or leaving Belham Wood
Kennels. Collars must be secure, fit correctly, be in good condition and carry an identification tag.
4.4 Car Park Vehicles, dogs, belongings and people enter and use the car park at their own risk. Belham Wood Kennels
accepts no responsibility for loss, damage or injury in the car park unless directly caused by our negligence.
5. PRICES, DEPOSITS AND PAYMENT
5.1 Prices Belham Wood Kennels reserves the right to revise its prices when necessary. The price confirmed for an
existing booking will apply unless:
• The booking is changed
• Additional services or accommodation are required
• The dog causes damage
• Additional costs arise during the stay
• The booking falls on a date subject to a special rate

5.2 Payment Before Arrival All boarding fees must be paid in full before the dog arrives at Belham Wood Kennels.
Dogs may be refused admission where the full balance has not been received before arrival. Refusal of admission
because of non-payment will be treated as a late cancellation. The full booking fee will remain payable and any
deposit already paid will not be refunded or transferred. Payment can be made by cash, bank transfer or any other
payment method agreed by Belham Wood Kennels. Customers should allow sufficient time for bank transfers to
reach our account before arrival. Any additional charges incurred during the stay must be paid before the dog is
collected or immediately upon request.
5.3 Deposits A deposit is required at the time of booking. A booking is not confirmed until the agreed deposit has
been received and confirmation has been issued by Belham Wood Kennels. All deposits are strictly non-refundable
and non-transferable. Where more than one kennel is reserved, the deposit will be treated as covering each kennel
included in the booking. If one kennel or part of the booking is cancelled, the proportion of the deposit allocated to
that kennel or part of the booking will be lost.
5.4 Day of Arrival and Departure All dogs are charged for the day of arrival. No charge will be made for the day of
departure where the dog is collected before 12:00 noon. Where the dog is collected at or after 12:00 noon, the
departure day will be charged.
5.5 Early Collection Where a dog is collected before the agreed departure date, the owner remains responsible for the
full cost of the original booking. No refund or credit will be given for unused days.
5.6 Late Arrival Where a dog arrives after the original booking start date, the owner will still be charged from the
original start date unless at least 14 days’ notice of the change was provided and the amendment was accepted by
Belham Wood Kennels.
5.7 Cancellation At least 21 days’ notice from the original start date of the stay must be given to cancel a booking.
Where less than 21 days’ notice is given, the total booking fee will remain payable. Deposits remain non-refundable
and non-transferable even where more than 21 days’ notice is provided.
5.8 Amendments At least 21 days’ notice from the original start date must be given to amend a booking. All
amendments are subject to availability and must be accepted by Belham Wood Kennels. Where less than 21 days’
notice is given, the owner remains responsible for the cost of the original booking. Where a booking is moved by
more than seven days from the original dates:
• The original booking must be cancelled
• The original deposit will be lost
• A new booking must be made
• A new deposit will be required Reducing the length of a stay may be treated as a partial cancellation. The owner may remain
responsible for the cost of the dates removed, depending on the notice given.
5.9 Travel Disruption and Covid-19 Customers make bookings at their own risk where travel plans may be cancelled,
changed or disrupted.
This includes disruption caused by Covid-19, illness, transport cancellations, government restrictions or changes to personal
circumstances. As a small business affected by cancellations, Belham Wood Kennels will continue to apply its standard cancellation,
amendment, deposit and payment terms.
5.10 Christmas and New Year Bookings Bookings that include 25 December, 26 December or 1 January will be charged
at double the standard daily rate. Any booking that falls between 24 December and 31 December must be paid in full
by 1 December. Where the Christmas booking is cancelled, a refund of payments other than the non-refundable
deposit will only be considered where at least 21 days’ notice has been provided. Bookings made after 1 December for
dates between 24 December and 31 December must be paid in full at the time of booking.
5.11 Additional Services Grooming, bathing and transport are not included in the standard boarding fee and will be
charged separately where provided.
5.12 Uncollected Dogs and Unpaid Fees Where a dog is not collected and boarding fees remain unpaid, Belham Wood
Kennels may make alternative arrangements for the dog after giving 14 days’ notice to the owner or the owner’s
representative at their last known address. The owner will remain responsible for:
• Outstanding boarding fees
• Additional boarding fees
• Veterinary costs
• Transport costs
• Legal or recovery costs
• Any reasonable costs incurred in arranging alternative care

6. BELONGINGS, TOYS AND DAMAGE
6.1 Owner’s Belongings Beds, bedding, blankets, toys, collars, leads and other belongings are left at the owner’s risk.
Belham Wood Kennels will take reasonable care but cannot accept responsibility for belongings that are lost,
damaged, chewed, soiled, destroyed or mixed up with another dog’s belongings.
6.2 Toys Supplied by the Owner Belham Wood Kennels does not routinely provide toys inside every kennel. Owners
may provide suitable toys, but these are left at the owner’s risk. Belham Wood Kennels cannot be held responsible for
injury or illness caused by a dog chewing, destroying, swallowing, guarding or injuring itself while using a toy.
Belham Wood Kennels may remove any toy considered unsafe or unsuitable.
6.3 Toys in Exercise and Play Areas Belham Wood Kennels may provide toys in exercise fields or play areas. Owners
who do not wish their dog to have access to toys must notify Belham Wood Kennels in writing before arrival. Belham
Wood Kennels cannot accept responsibility for injury caused by a dog chewing, swallowing, guarding or misusing a
toy unless directly caused by our negligence.
6.4 Damage Caused by Dogs Where a dog causes damage during its stay, the reasonable cost of repair, replacement,
additional cleaning or specialist work will be added to the owner’s bill. This may include damage to:
• Kennel panels
• Doors
• Flaps
• Beds
• Bedding
• Bowls
• Heating equipment
• Electrical fittings
• Fencing
• Exercise equipment
• Fixtures or fittings The owner must pay these costs upon request.
7. PHOTOGRAPHS AND MARKETING Permission is given for Belham Wood Kennels to take
photographs or videos of dogs during their stay. These may be used for social media, our website,
advertising, printed promotional material and general business updates. Owners who do not wish
their dog to be photographed or included in promotional material must notify Belham Wood Kennels
in writing before the dog’s stay.
8. RIGHT TO REFUSE ADMISSION Belham Wood Kennels reserves the right to refuse admission to any
dog where there is a reasonable welfare, health, safety, operational or legal reason for doing so. This
may include, but is not limited to:
• Invalid or missing vaccination evidence
• Outstanding payment
• Illness
• Aggression
• Unsafe behaviour
• Undisclosed medical or behavioural concerns
• Unsuitable medication arrangements
• Failure to comply with these Terms and Conditions
9. DATA PROTECTION AND RECORD KEEPING
9.1 Why We Collect Information Belham Wood Kennels is required to keep appropriate records for animal welfare,
boarding licence, business administration and emergency purposes. The information allows us to:
• Manage bookings
• Contact owners
• Contact emergency representatives
• Provide appropriate care
• Communicate with veterinary practices
• Comply with legal and licensing requirements
• Maintain financial and business records
9.2 Information We May Hold We may hold information including:
• The owner’s name
• Home address
• Landline telephone number
• Mobile telephone number
• Email address
• Emergency contact details
• The dog’s name and details
• Medical and behavioural information
• Vaccination details
• Insurance information
• The name and telephone number of the dog’s veterinary practice
• Booking and payment records
• Communications relating to the dog’s care

9.3 Permission to Hold and Use Information By making a booking and accepting these Terms and Conditions, the
owner gives Belham Wood Kennels permission to collect, store and use personal information for the purposes
described above. Belham Wood Kennels may ask the owner to sign a current copy of these Terms and Conditions.
Where material changes are made, the owner may be asked to review and accept a new copy.
9.4 Sharing Information Belham Wood Kennels will not share personal data with unrelated third parties except where
sharing is reasonably necessary or legally required. Information may be shared with:
• Local Authority licensing officers
• Veterinary practices
• Emergency service providers
• Professional advisers
• Payment or debt recovery providers
• Other authorities where required by law A veterinary practice may use the information supplied to confirm identity, contact details or
treatment instructions.
9.5 Access to Personal Data Owners may request a copy of the personal data held about them. Belham Wood Kennels
will respond within the applicable legal timescale, normally within one month. Owners should notify Belham Wood
Kennels if any information held is inaccurate or needs updating.
9.6 Retention of Information Records may be retained for up to six years after the last contact or booking, unless a
longer retention period is required for legal, insurance, licensing or safeguarding reasons. After the relevant
retention period, records will be securely deleted or destroyed.
9.7 Marketing Owners may opt out of marketing communications at any time. Opting out of marketing will not
prevent Belham Wood Kennels from contacting an owner about an existing booking, payment, a dog’s care, an
emergency or changes to essential policies or Terms and Conditions.
10. ACCEPTANCE I confirm that:
• I have read and understood these Terms and Conditions
• The information I have provided is complete and accurate
• I accept responsibility for all dogs included in my booking
• I agree to pay all fees and charges that become due
• I understand that these Terms and Conditions apply each time my dog or dogs boa
We are family run kennels near the villages of Glinton and Werrington.
Our kennels are set in 2 acres of land which is split into different sizes & areas to ensure we can cater for all types of dogs with the security they can be walked off lead or on lead depending on your wishes and your dog’s needs.
Our aim is to give your dog an enjoyable stay, whilst giving you peace of mind that they will be looked after by people who really do care for your dogs well-being.
We are one of the smallest kennels in Peterborough meaning your dogs are able to have one on one love and attention they require by Stephanie and Sharon.
We do not mix dogs from other families so this gives you peace of mind that your dog will be safe whilst here.
